From Project Paperwork to a Working Punch List
An editable project summary and punch list bring scattered roofing records together for review and follow-up.
We turned seven pages of roofing records into an editable Excel workbook with a project summary and six reported issues. Someone taking over the work can review the project details, see the documented actions and update the record as follow-up continues. The example uses public records for a roof replacement at 5 Barton Square in Salem.

A record the next person can use
The job summary puts the project information, dates and remaining-work estimate in one place. The punch list gives each reported issue its own entry, bringing related observations together with the actions stated in the paperwork. Those two sheets give a project manager the context for the job and a list to work through.
Because the result is an editable workbook, a team can add follow-up notes and adapt it to its own way of managing the work. The next person receives a usable starting point with the relevant information already assembled. References remain in the workbook when someone needs to check an entry against the original documents.
From the papers to the record
We combined a completion certificate, the architect’s letter and a roofing field report with photographs, then reviewed the assembled record against those documents. For the missing roof-hatch latch, the letter supplies the instruction to purchase and replace it, while the field report adds the associated photograph. The workbook brings them together as one issue.

Producing an editable record gives people something they can review, update and pass on, instead of assembling the same information at each handoff.
